Privacy notice

This notice explains what personal information we collect when you book a canine eye testing appointment, why we hold it, and how long we keep it.

Who we are

Iona Mathieson Veterinary Ophthalmology (“we”) runs BVA and Kennel Club canine eye testing clinics. We are the data controller for the information collected through this website.

What we collect

  • Your name, email address and telephone number.
  • Details of the dogs or litters presented: name, breed, date of birth, Kennel Club number, microchip number and parentage.
  • The clinic, appointment time and tests booked, and the amounts paid and outstanding.

We do not collect or store card details. Payments are handled entirely by Stripe; we only keep a payment reference confirming that your deposit was received.

Why we hold it

To arrange and run your appointment, to issue eye testing certification, to send you confirmation and reminder emails, and to keep proper records of fees paid. Our lawful basis is performance of our contract with you and our legitimate interest in running the clinics and keeping accurate clinical and financial records.

Who we share it with

Only with the services needed to run the booking: Stripe (payment processing), our email provider (confirmations and reminders), and our hosting and database provider. Where required for certification, details are shared with the BVA and the Kennel Club. We never sell your information or use it for marketing.

How long we keep it

  • Bookings that are cancelled or never paid for are deleted after 30 days.
  • Completed appointments are anonymised after 24 months — names, email addresses, telephone numbers and identifying dog numbers are removed, leaving only the anonymous record of the appointment.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Email hello@imev.co.uk and we’ll respond within one month. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
